WHAT IS A COMPANY POLICY MANUAL?

A Company Policies and Procedures Manual is a document used to give staff (and management) clear guidelines to help them understand who you are, and how you do business.

Typically this document is given to new staff when they start with your business as part of their induction or even prior to their first day. When we implement these into a clients business, we will recommend having a new hire checklist, and having the new hire sign and acknowledge that they have read and understood all areas in the policies and procedures manual.

WHY DO I NEED A COMPANY POLICIES AND PROCEDURES MANUAL?

Realistically, every business that employs staff should have a company policies and procedures manual in place. Why? Firstly, if you don't have one, it is likely you don't have some, if not all of these policies in place. You may not even have considered some of them, so a company guide like this gives you clarity into the basic standards you should have in your office. It gives staff the clarity they need to do things your way. The simple principle of - you can't do what you don't know comes into play here.

The manual itself is a simple way of keeping everything in one place. Why have 100 policies in different documents spread over different drives, when you can have them all in one place. It also makes it easier to update (we recommend a 6 monthly or 12 monthly review and update of the document).

WHAT ARE THE BENEFITS OF HAVING COMPANY POLICIES AND PROCEDURES?

There are many benefits to having a company policies manual, and here are some:

  1. Give employees clarity on standards of behaviour and performance

  2. Allows you to treat all employees equally and sets a minimum standard for staff no matter what their role title

  3. Helps staff make decisions simply and quickly

  4. Makes onboarding easy and can act as an onboarding tool

  5. Reduces business risk and improves security

  6. Reduces HR downtime educating new staff on a number of principles

  7. Policies benefit employers if they have an unfair dismissal claim occur

WHAT HAPPENS IF I DON'T HAVE A COMPANY POLICIES AND PROCEDURES MANUAL TEMPLATE?

If you want to attract and retain the best staff, you need a policies and procedures manual. By not having one you risk looking unprofessional to staff and like a business that hasn't considered the basics. You also open yourself up to risk by having people operating in their own way, rather than adhering to the optimal permitted way.
